Privacy policy
This website works without cookies, without tracking and without content from third-party servers. What we do process nonetheless, and why, is set out here — specifically, not as boilerplate.
Which version applies. This text is a translation provided for convenience. The legally binding version is the German version of this page; German law applies and the German wording prevails in case of doubt.
Summary
You can use this website in full without giving us any personal data. We set no cookies, measure no usage behaviour and embed no fonts, maps or scripts from third-party servers. We process personal data only when you send us an enquiry, request the catalogue, write to us or call us — and in the log files that every web server technically generates. Two items do come from third-party servers: the appointment calendar and our videos. Both load only when you expressly request them with a click.
1 · Controller
The controller for the data processing on this website within the meaning of the General Data Protection Regulation is:
VR Dichtungen GmbH
F.W. Raiffeisenstr. 11–13
52531 Übach-Palenberg, Germany
Phone +49 2451 48208-0
Email info@vr-dichtungen.com
Further details are given in the Legal notice. For questions about data protection and to exercise your rights you can reach us at the contact details above.
2 · Visiting the website
When you open a page, your browser transmits technically necessary data to our web server, where it is recorded in log files:
- your IP address
- the date and time of access
- the address requested and the volume of data transferred
- the message stating whether the request was successful
- the previously visited page, if your browser transmits it
- browser type, version and operating system
Without this data a website cannot technically be delivered. We use it solely to keep the site running and to detect attacks. The legal basis is our legitimate interest in a secure and functioning web presence, Art. 6 (1) (f) GDPR. It is not combined with other data, nor evaluated for advertising purposes.
3 · Hosting
This website is operated at Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. The servers are located in Germany. Hetzner processes the data named under point 2 on our behalf; a data processing agreement under Art. 28 GDPR is in place.
4 · No cookies, no tracking
This website sets no cookies and stores nothing on your device. It contains no analytics or tracking tools, no counting pixels, no social media buttons and no advertising networks. That is also why there is no consent banner here: there is nothing for which we would need your consent.
Fonts, images, stylesheets and scripts are delivered entirely from our own server. Your IP address is therefore not transmitted to any third party — in particular not to Google Fonts or to a content delivery network.
There are two third-party embeds: the appointment calendar at Consultation and the videos from our YouTube channel on individual pages. Both are loaded only when you request them with a click — see point 8 and point 9. Until you do, no request goes to Microsoft or Google, not even for a preview image.
5 · Enquiry form
If you send us an enquiry through the form on this website, we process the details you enter:
- company and name
- email address
- telephone number, if you give one
- your message
- an uploaded drawing or model, if you attach a file
- the voluntary operating data from the collapsible block — dimensions, medium, pressure, temperature, speed, quantity and a preferred time window for a call back
- the page from which you submitted the form
We use these details solely to deal with your enquiry and to get in touch with you. The legal basis is Art. 6 (1) (b) GDPR, because the processing serves the initiation of a contract; where it concerns maintaining the business relationship, we rely on Art. 6 (1) (f) GDPR.
To guard against automated spam, the form contains a field invisible to humans and measures the time between opening and submitting. Neither is stored nor evaluated.
Attached drawings are forwarded by email to our sales department. They do not remain on the web server.
5a · Technical consultation sheet
When we are preparing a consultation with you, we send you a personal link to a technical sheet. It is not linked from anywhere on this website and cannot be found through search engines. The link contains an identifier we created for you; it assigns your completed sheet to the consultation and expires after a few weeks.
With that identifier we store the company, name and e-mail address of the person we invite, together with an internal note on the occasion for the consultation. When you submit the sheet, we additionally process the entries you have made: contact details, information about the machine and the sealing point, operating data, details of the shaft and housing, and the files you attach.
The legal basis is Art. 6(1)(b) GDPR, because the processing serves the initiation of a contract. The consent you give on the sheet documents that purpose; it is not an additional legal basis for advertising.
The completed sheet goes to our sales team and into our customer management system (section 7). A copy is also held on the web server in a directory that cannot be reached over the network, so that no submission is lost; we delete it once the sheet has arrived in the customer management system, and after twelve months at the latest. Attached files are forwarded to sales by e-mail and are not retained on the web server.
This sheet, too, contains a field invisible to humans as protection against automated spam, and measures the time between opening and submitting. Neither is stored nor evaluated.
6 · Requesting the catalogue
If you request our technical catalogue, we process your company, name and e-mail address in order to send you the catalogue. The legal basis is Art. 6(1)(b) GDPR. That alone does not bring you any marketing. If you additionally tick the box for technical news in the form, we send you an e-mail on that two or three times a year; the legal basis is then Art. 6(1)(a) GDPR. You may withdraw this consent at any time — via the unsubscribe link in every mailing, or informally to info@vr-dichtungen.com. The lawfulness of the processing carried out until then remains unaffected.
6a · Measuring the effectiveness of our advertising
If you reach us through a Google advertisement, Google appends a click identifier to the address you call up (the parameter gclid). If you then send us an enquiry or request the catalogue, we store that identifier together with the time and type of the enquiry and transmit it to Google Ads. This allows Google to recognise which advertisement led to an enquiry.
For this we use no cookie, no session storage and no script from Google . The identifier is taken solely from the address line and appended to the links of this website for the duration of your visit; nothing is stored on your device. Only the identifier, the time and a flat value are transmitted — neither your name nor your e-mail address nor the content of your enquiry.
The legal basis is Art. 6(1)(f) GDPR. Our legitimate interest lies in recognising which advertisements actually lead to enquiries, and in discontinuing ineffective advertising. You may object to this processing at any time, informally, to info@vr-dichtungen.com . The recipient is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.
7 · Customer management with HubSpot
Enquiries and catalogue orders are passed to our customer management system HubSpot, so that they are not lost and are handled traceably. The provider is HubSpot Ireland Limited, 1 Sir John Rogerson's Quay, Dublin 2, Ireland. The data are stored in a data centre within the European Union. A data processing agreement under Art. 28 GDPR is in place with HubSpot.
A transfer to the United States cannot be entirely ruled out in the course of support and maintenance. HubSpot, Inc. is certified under the EU-U.S. Data Privacy Framework; the European Commission's standard contractual clauses apply in addition.
The HubSpot tracking script is not used on this website. Your visit to our pages is therefore not recorded there — only what you yourself enter in a form is transmitted.
8 · Booking an appointment
For consultation appointments we use Microsoft Bookings, a service of Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland.
On our page the calendar is not embedded directly. At first you see only a notice with a button. Only when you click it is the calendar loaded from Microsoft — before that no data traffic goes there. With the click you consent to this retrieval, Art. 6 (1) (a) GDPR and § 25 (1) TDDDG. You can also arrange the appointment by telephone or email instead.
On loading, your browser transmits your IP address among other things to Microsoft; Microsoft sets its own cookies in the process. If you book an appointment, we process name, email address and the details you provide in order to arrange and hold the appointment, Art. 6 (1) (b) GDPR. A data processing agreement is in place with Microsoft; Microsoft Corporation is certified under the EU-U.S. Data Privacy Framework.
9 · YouTube videos
On some pages we embed videos from our YouTube channel. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.
The videos are not embedded directly. At first you see only a notice box with a button; no preview image is loaded from Google either. Only when you click “Load video” does your browser establish a connection to YouTube. With the click you consent to this retrieval, Art. 6 (1) (a) GDPR and § 25 (1) TDDDG. The consent applies only to that one video; if you reload the page you will be asked again.
We use the extended privacy mode via the domain youtube-nocookie.com. According to Google, cookies are then set only when you start playback. On loading, your browser in any case transmits your IP address and details of your device and browser to Google. If you are signed in to Google at the time, Google can associate the retrieval with your account; you prevent that by signing out beforehand.
We have no influence on the processing by Google. Details are given in Google's privacy policy at policies.google.com/privacy. You can also watch all the videos directly on YouTube instead — the content of this website remains fully usable without the videos.
10 · Contact by email and telephone
If you write to us or call us, we process your details in order to deal with your request. The legal basis is Art. 6 (1) (b) GDPR for contractual matters, otherwise Art. 6 (1) (f) GDPR. Emails are not protected against being read throughout their transport; for confidential information we are glad to be available by another route.
11 · Job applications
Application documents you send us are processed solely for the application procedure. The legal basis is § 26 (1) BDSG in conjunction with Art. 6 (1) (b) GDPR. If no appointment is made, we delete the documents at the latest six months after the procedure ends, unless you have agreed to longer retention.
12 · Retention period
We store personal data for as long as is necessary for the respective purpose. Enquiries that do not lead to business are deleted as soon as the matter is closed and no retention obligations stand in the way. For documents subject to commercial or tax law, the statutory retention periods of § 257 HGB and § 147 AO of six and ten years respectively apply.
13 · Recipients
We pass your data on only in so far as is necessary for the purposes named. The categories of recipient are our hosting provider, the provider of our customer management system, our email service provider and — in the case of an order — transport and payment service providers. There is no disclosure for advertising purposes. Your data are not sold.
14 · Your rights
You have the following rights against us in respect of your personal data:
- Access under Art. 15 GDPR to whether and which data we process
- Rectification of inaccurate data under Art. 16 GDPR
- Erasure under Art. 17 GDPR, in so far as no retention obligation stands in the way
- Restriction of processing under Art. 18 GDPR
- Data portability under Art. 20 GDPR
- Objection to processing that we base on a legitimate interest, under Art. 21 GDPR
- Withdrawal of consent under Art. 7 (3) GDPR with effect for the future
An informal message to info@vr-dichtungen.com is enough.
15 · Right to lodge a complaint
You can lodge a complaint with a data protection supervisory authority at any time. The authority responsible for us is:
State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia
Postfach 20 04 44
40102 Düsseldorf, Germany
Telephone +49 211 38424-0
poststelle@ldi.nrw.de
16 · No automated decision-making
No automated decision-making, including profiling, within the meaning of Art. 22 GDPR takes place.
17 · Encryption
This website is delivered exclusively over an encrypted connection (TLS, recognisable by the padlock in the address bar). Form entries are thereby protected in transit.
18 · Changes
We adapt this policy whenever something changes on our website or in the services used. The version published here is the one that applies.
